Rollback Receipts

In OpenBoxes, Superusers have the ability to Rollback receipts. If there are data entry mistakes or corrections that need to be made to the receipt, Superusers can Rollback a Received Shipment. However, rolling back a received shipment can cause discrepancies in the inventory. So, we must be careful to only Rollback shipments that are recently received. The shipment status will then change from Received to Shipped status and the items will be removed from inventory.

There can be Shipments created in three ways: Shipment from a Purchase Order, Shipment from Paper, and Shipment from an Electronic Request. We can Rollback receipts for all types of shipment. While the Rollback process is the same for all three types of shipment, we need to be aware that Rolling back a Shipment from a PO also updates the line item statuses in the actual PO. 

An easy way to distinguish if a shipment was created from a Purchase Order (PO) or from a Paper/Electronic Request is by looking at the Shipment view page. On the Shipment view page, under Details, if there is Order information it means that the shipment was created from PO(s). In addition, when we Rollback Shipments created from PO, the status for line items in the PO view page and list pages is also updated from Received to Shipped. For Shipment from Paper, the Order information will be absent. Also, in the packing list, an additional column with Order Numbers will be displayed for respective products. See the screenshots below for a Shipment created from PO. 

Rollback Receipts

To Rollback Receipts, we must first go to the Shipment view page of the stock movement. Easy ways to navigate to the Shipment view page is by using the (1) Global Search bar or (2)Go to Inbound in the top navigation bar > List Inbound Movements > Search for the desired shipment. 

On the shipment view page, we should see that the status for the shipment is Received. We will also see a "Rollback Last Receipt" Option. 

e can click on the "Rollback Last Receipt" option, and we will see a success message. Also notice that the shipment status is not Shipped. 

The rollback will also update the inventory information for the products and also update Shipment information for products in the Purchase Order
