Difference between Expired and Expiring Report
The Expired Stock Report gives you a list of all products that have already expired, whereas the Expiring Stock Report is a list of all products that will expire in the future.
Expired Stock Report
The expired stock report shows a list of all products currently in stock that have already expired. This allows warehouse team members to dispose of any expired inventory at the location.

How to Run the Report
Dashboard
In the Dashboard, you can choose to have the "Expiration Summary" indicator. To learn how to configure your dashboard, please see this article.
- The Expiration Summary indicator is interactable. Hovering over the dots gives us the number of expired/expiring products for the given time frame.
- If we click on the dot for "today", the expired inventory report will load.
Reporting
To access the Expired Stock Report, go to Reporting > Expired Stock Report.
Under Filters, we can select a specific category of products we are looking for. In addition, we can also select a desired date range. This will help take action for products with a specific Expiration Date Range.
There are some actions available to us in the Expired Stock Report: Transfer out, Mark as Expired, and Mark as consumed. These actions allow us to manage our expired inventory in OpenBoxes.
We can view this report in the HTML version as displayed in OpenBoxes or download this report as CSV, with or without Bin Locations.
HTML version
In OpenBoxes itself, the report consists of the following fields or columns:
- Code: The product code.
- Product: The product name.
- Category: The product category.
- Lot number: The product lot number that expired.
- Expiration date: The date that the lot number expired.
- Quantity: The quantity in the lot number that expired.
- UoM: The unit of measure of the product.
CSV version
The CSV version of the report contains some additional columns that provide further information and can be helpful in analysis. Along with the fields mentioned above, the CSV version also contains these columns:
- Status: The product status (In stock, out of stock).
- Tags: The product tags that provide additional categorical information on the product.
- Bin location: The bin location can be helpful to locate the expired inventory in the warehouse.
- User set inventory levels: The minimum quantity, Reorder quantity, Max quantity, and Forecast quantity will populate if they have been set for the product and location.
- Average Unit price: The average unit price of the product.
- Total value: The total value of the expired product.
- Bin Location (if you downloaded with Bin Locations): The physical locations of the items.
Expiring Stock Report
The Expiring Stock report shows all products in stock at your current location with an expiration date in the future. For information on managing expired products, please click here.
How to Run the Report
We can access the Expiring Stock Report in two ways:
Dashboard
In the Dashboard, you can choose to have the "Expiration Summary" indicator. To learn how to configure your dashboard, please see this article.
- The Expiration Summary indicator is interactable. Hovering over the dots gives us the number of expired/expiring products for the given time frame.
- If we click on any of the dots that are in the future time frame, such as within 30 days, or within 60 days, the expiring inventory items report will load.
Reporting
Go to Reporting > Expiring Stock.
The report defaults to show all products that have been assigned an expiration date. However, we can use filters to narrow our search. We can filter our search with product category or expiration time frame:
- All
- Expires within 30 days
- Expires within 90 days
- Expires within 180 days
- Expires within 365 days
- Expires after 365 day
In addition, we can also select a desired date range. This will help take action for products with a specific Expiration Date Range.
HTML version
In OpenBoxes itself, the report consists of the following fields:
- Code
- Product Name

- Lot Number
- Expiration Date
- QTY
- UOM
CSV version
The CSV version of the report contains some additional columns that provide further information and can be helpful in analysis. Along with the fields mentioned above, the CSV version also contains these columns:
- Status
- Tags
- Bin Location (If used at the location)
- User set inventory levels: The minimum quantity, Reorder quantity, Max quantity, and Forecast quantity will populate if they have been set for the product and location.
- Current Quantity
- Average Unit Price
- Total Value
- Bin Location (if you downloaded with Bin Locations)
