Outbound shipment page by page - Create

Go to Outbound > Create Outbound Movement.

This will bring you to the Create Outbound Stock Movement workflow. You will see Stock Movement > Create Outbound listed at the top left of your screen next to your current location. The create step will also be highlighted in the workflow that runs across the page.

On this screen, you will take action to get the stock movement process started. You are required to enter specific movement details that will become the foundation for your stock transfer. Each field is outlined in more detail below.

Description

Enter information that will help reference this stock movement. You can use a PO or other reference number, a description of the items included, commentary on the purpose of the shipment, or other useful information that will help you and others understand this shipment in the future.

Origin

This is the departure site for your shipment. It is where you are shipping from. The shipping location will auto fill based on your current location in OpenBoxes. Check to make sure you are in the correct location before moving forward. Because I am currently in the Distribution Center location within OpenBoxes, it is already populated for me on this page.

Destination

This is the arrival site for your shipment. It’s where your items are going to and where they will be received into inventory after the physical movement of goods. Start typing your destination into the box and select the destination when it appears. You can only ship a stock movement to another location that is defined in OpenBoxes. If the location does not exist in the system yet, it will need to be set up. Ask your administrator to create a location. For the example below, I typed “Hinche” and OpenBoxes provided me with “Hinche Depot” in the blue drop down box beneath it.

Requested By

This field gives you the opportunity to connect a person with this movement of goods and have them noted in the workflow. This field is usually populated with the person who requested the stock movement, however it is possible to enter other people that you want to associate with this requisition.

Date Requested

Enter the date on which the product was requested. Select the date from the calendar to populate this field, or type the date into the box.

Request Type

Here you should select one of the two options - stock request or ad hoc. A stock request is a regular replenishment order. This type of movement is usually prearranged or may happen on a recurring cycle. An ad hoc request is a stock movement in response to a specific need or situation. Ad hoc requests are created outside the regular replenishment process.

Stock List

You have two choices for this field:

  • If your stock movement is not directly associated with a predefined stock list, leave this field blank and continue on by clicking next. That is likely to be the case for an ad-hoc request in response to a specific need.
  • If your stock movement is based on a predefined stock list, you will have the ability to select it in this step. Your choices for stock lists will auto populate based on stock lists that have already been created for your selected destination. In the example below, you can see that two stock lists are available for the Hinche depot and displayed in the drop down box. For this example, we will not use a stock list.

You now have an opportunity to review all of the basic information that you just entered to create your outbound stock movement. If everything looks correct, click next, and then it will be time to start adding items to your stock movement.
