Import Product Associations

For Admin users who want to create multiple product associations at the same time, OpenBoxes offers an "Import Product Associations" feature. To create product associations manually, see Create Product Associations

Import Product Associations

Users can import data from the Import Data page. We can get to the Import Data page through the Products Associations List page, or through Configuration.

  1. On the top navigation bar, Click on Products > Associations.
  2. On the Product Associations List Page, there is an "Import Product Associations" button. You can click on the button and it will direct you to the Import Data Page.
  3. Users can go through the Product Association List Page to get to the Import Data page OR go to Configuration and click on Import Data under Administration.
  4. On the Import Data page, we have to first prepare a file to import. Download the template for Product Associations.
  5. On the downloaded excel file, we can now add product associations that we want to import. See below for detailed instructions for the template file.
    1. Id: Leave this blank. OpenBoxes will automatically create an ID for the substitution.
    2. Type: Enter the Association Type: Substitute, Accessory, Replacement, Consumable, Preventative Spare Part, or Corrective Spare Part. Please see  Product Associations Types to learn more.
    3. Product Code: Enter the Product Code that you want to create the Association for. Enter the product code with an apostrophe at the beginning. For example, for product code 18885, Enter '18885.
    4. Product Name: Enter the Product Name that you want to create the Association for.
    5. Associated Product Code: Enter the Product Code that you want to associate with the primary product. Enter the product code with an apostrophe at the beginning. For example, for product code 20819, Enter '20819.
    6. Conversion (Optional): This is the conversion factor for the associations. The product association will default to 1:1 conversion in OpenBoxes if left blank.
    7. Comments (Optional): Users can add comments in this column.
    8. Date Created: Leave this blank.
    9. Last Updated: Leave this blank.
  6. Once all product associations have been entered into the template file, save the file in the same format.
  7. Go back to OpenBoxes, on the Import Data page, select the saved file by clicking on "Choose file." Also, make sure "Product Associations" is selected for the Type of Import. Then, Click on Upload.
  8. You can review the import data. If everything looks good, click on Finish or you can go Back to make changes to the template file and upload the new file.
  9. Once you click on Finish, you should see a validation message if the import was successful. You will be able to see the new associations on the Product Associations List page and the Product pages.
