Outbound Shipment Validation Errors
When users create Outbound movements in OpenBoxes, they may complete the Pick process but wait to Ship the shipment. During the wait time, some changes may have been made to the picked inventory. If this happens, users will see an error and will not be able to ship the outbound shipment.
To ship an outbound movement previously created, go to the outbound shipment details page > click on Edit. This will take you to the Outbound Shipment Pick page, where you can ship the shipment, or make edits as necessary. On the Pick page, click on Next. If changes have been made to the previously picked inventory, such as stock count resulting in low stock or stock-out, or recall, users will see an error message. The error message will also indicate which product the error is regarding.
In the screenshot below, the error message shows that product code 11874 is no longer valid and needs to be edited.
Users can resolve this in two ways:
A. Edit Under the Edit Pick Column
If there is a small number of line items in the outbound shipment, you can use this method to make edits to one product at a time.
- We can make edits to the product quantity from the Edit page. Under the Edit Pick column, click on Edit. This will open an Edit Pick box.
- On the Edit Pick box, you will see the On Hand quantity (1) and the Available quantity (2). This will help us pick the right quantity for the outbound shipment.
- In the above screenshot, the Available quantity is 0, so I changed the Picked quantity (3) to 0.
- Then, we can pick a reason code (4) for why we changed the picked quantity. To learn more about reason codes, please see Outbound Shipment - Edit.
- Click Save.
After you make the needed quantity edits to the required line items, you can move forward in the process to mark the shipment as Shipped.
B. Navigate to the Edit Page
If you get an error for a Shipment with multiple line items (such as a shipment created from a stocklist), this process will be easier to complete. This will allow us to make edits to multiple products at the same time.
- Click on the Previous button on the bottom left of the page. This will take you to the Edit page of the outbound shipment.
- On the Edit page, we can look at multiple things to identify the line items with errors and edit them.Please see below for descriptions of the marked fields in the screenshot.
- This shows us how many items need to be edited.
- This page also shows us the On Hand quantity and Available Quantity.
- If there are substitutions available for the items that need to be edited, the substitutions can be picked to fulfill the request. To learn more about substitutions, please see Outbound Shipment - Edit.
- Based on the Quantity Available, we can edit the quantity that will include in the outbound shipment. For the product code 10059, I have added 200 in the Qty Revised field.
- We can select a Reason Code on why a different quantity was included in the outbound shipment instead of the requested quantity.
- Once we have made changes to all the required line items, we can click on Next.
